BOOKING DETAILS

We like to keep the booking process simple and straightforward so you know exactly what to expect when reserving your date at County Line at Bearberry.

Reserving Your Date

To officially reserve your wedding or event date, we require a signed rental agreement and a 25% non-refundable booking retainer.

A $2,500 refundable security deposit is due 30 days prior to your event. This is separate from your rental fees and will be returned within 14 days following your event, less any applicable charges for damage, missing items or excessive cleaning.

Payment Schedule

Rental fees are divided into three payments:

• 25% at booking

• 25% six months prior

• 50% three months prior

Any remaining add-ons or additional rentals are due 14 days prior to your event.

All prices are subject to GST. We accept e-transfer, cheque and cash. Credit card payments may be available for an additional processing fee.

Cancellations

Your initial 25% booking retainer is non-refundable as your date is removed from availability once your booking is confirmed.

Additional payments become non-refundable as their respective payment deadlines are reached. We understand that plans can change and will always do our best to work with our couples when possible. Full cancellation and date-change terms are outlined in your rental agreement.

Venue Access

Standard wedding packages include property access from 10:00 AM to midnight.

Want to keep celebrating? Additional time may be arranged in advance for $250/hour, up to a maximum of 4:00 AM, subject to availability and approval.

Weekend packages follow the access times included in the selected package.

Alcohol & Insurance

Couples are responsible for obtaining the appropriate liquor licence and required Special Event Liability Insurance for their celebration.

All bar and alcohol arrangements must be approved in advance and comply with applicable Alberta regulations.

Music & Sound

Your venue rental includes use of our 4-speaker sound system, projector and screen.

DJs are welcome and can connect to our venue sound system. Additional outside sound equipment requires prior approval.

Décor

Make the space your own! Personal décor is welcome throughout the venue.

For the protection of the property, confetti, floating lanterns and fireworks are not permitted. Sparklers may be approved for outdoor use when fire restrictions and weather conditions allow.

Any décor requiring attachment to venue walls, structures or fixtures must be approved in advance.

Parking & Camping

Complimentary on-site parking is available for your guests.

Dry camping is also available on-site for RVs, trailers, camper vans and tents and can be added separately to your venue booking.

Vehicles staying overnight must be moved to designated overnight parking or camping areas.

Pets

Yes — County Line is pet friendly!

Pets must be supervised, and owners are responsible for cleaning up after them and for any damage they may cause. As we are located in rural Alberta where wildlife may be present, we strongly recommend keeping pets leashed while outdoors.

Clean-Up

Enjoy the last dance — we'll take care of the normal venue clean-up.

Before leaving, simply gather your personal belongings, gifts, décor and outside rental items. Additional charges apply only when excessive cleaning, damage or missing venue property is involved.
